POSITION SUMMARY STATEMENT:

Perform a variety of both complex problem solving and routine administrative duties typically for a departmental supervisor and for staff.   Require working knowledge of assigned area and understanding of the organization, its resources, programs and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide support to United Way of Central Maryland’s Major Gifts team (phone, email, correspondence, scheduling, filing, thank you notes, special events, etc.)
  • Prepare and lead our email communications efforts to all major gift donors.
  • Support our special events efforts including In Their own Words and the Tocqueville Annual Event.
  • Serve as contact for external inquiries and must be able to provide exceptional customer service and have stellar phone & communication skills.
  • Responsible for customer service follow-through with volunteers, donors, United Way external partners and staff by phone, email and in person.
  • Support seven or more professional staff on different projects simultaneously.
  • Schedule appointments with external current and prospective donors and volunteers and track all communications in our customer relationship management system.
  • Coordinate travel arrangements and maintain calendars as applicable.
  • Supporting staff in meeting preparation and planning including scheduling on-site meeting rooms, location set-up, agendas and other necessary materials to be presented, taking and distributing meeting minutes, etc. 
  • Work cross functionally with other United Way staff members to solve issues and continue to find ways to enhance our internal process.
  • Submit expense reports for the major gifts senior staff and become familiar with the organizational budget and how to submit departmental expenses.

  • Self-management: dependability and reliability to complete assignments.

  • Donors, volunteers, community leaders, etc.

QUALIFICATIONS AND REQUIREMENTS:

  • 2-year college degree or college degree with two (2) years related experience.
  • Must be able to project the best professional image when dealing with customers by phone, in person or interacting with colleagues.
  • Excellent computer skills in word processing, database management, and electronic communication software
  • Excellent phone skills – primary source of internal and external customer inquiries.
  • Ability to organize multiple tasks and prioritize
  • Use of excellent English for verbal and written communication to include grammar, spelling and punctuation.
  • Editing skills and excellent examples of error-free work, including correspondence, rosters and other examples of day-to-day word processing.
  • Ability to work with minimum supervision 

PHYSICAL DEMANDS: (sitting, standing, lifting, etc):

Most of this position is remote/virtual due to the ongoing COVID crisis. The employee is primarily seated while performing the duties of the position at UWCM. Due to the situation with COVID, all work is conducted virtually from home. The hands are regularly used to write, type, keypunch and handle or feel small controls and objects.  Weights up to 25 pounds occur (i.e. laptop computer, heavy files, computer reports, computer terminals or other regular office equipment.) Requirements may be modified to accommodate individuals with disabilities.
