POSITION SUMMARY STATEMENT

This position plays an important role in supporting the President and CEO and Executive Management Team (EMT) in both their day-to-day and overall operations of the organization. The Chief of Staff (COS) is able to embed themselves into UWCM’s business, dig into complex issues, and help EMT understand and address key aspects of the organization. The COS will be a partner in leading the charge, connecting the dots, making compelling proposals, and executing with the highest levels of excellence. The incumbent must  have a strong ability to help manage a range of initiatives while also managing dependencies and priorities and driving speed, quality, and execution to deliver results and value.

The COS collaborates with the President & CEO and EMT to prioritize and execute the organization’s business strategies. This position uses strong leadership and problem-solving skills to support the President & CEO, SVP & Chief Operating Officer (COO), and other EMT members in their roles by taking over some of their assigned important tasks and handling other essential day-to-day matters. The COS serves as lead coordinator and facilitator of the Organizational Management Team (OMT) which comprises UWCM’s vice presidents and associate vice presidents. Duties include attending meetings on the President and CEO’s and EMT’s behalf, summarizing discussions/decisions relevant to UWCM, debriefing, and following up as appropriate; facilitating meetings, retreats and workshops as called upon; implementing planning and project management processes across the organization; and providing leadership members with important information and supports to prepare them for upcoming discussions, presentations, and decisions.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

50% - Organizational Administration:

  • Collaborates with the President & CEO and EMT members to prioritize and execute business strategies and address operational requirements. Helps to coordinate commitments with internal and external organizations to fulfill the broad level strategies established by EMT.
  • Coordinates agendas and keeps contents of EMT bi-weekly meetings focused and participates in bi-weekly EMT Huddles as well.
  • Plans, coordinates, and facilitates monthly Organizational Management Team (OMT) meetings and works to hold OMT members accountable for follow up. Plans, coordinates, and facilitates other internal and external meetings, workshops, retreats and convenings, as requested.
  • Builds strong relationships with internal stakeholders and collaborates to diagnose organizational opportunities and propose solutions to executive team
  • Responds to inquiries on behalf of the President & CEO and EMT members, as requested. Represents EMT, as requested, to internal and external business interests.
  • Provides tactical support to implement ideas that advance UWCM’s vision, mission, and goals.
  • Assists the SVP & COO in delivering, monitoring, and communicating progress towards strategic plan and work plan goals. Works with the COO and SVP & Chief Acceleration Officer and teams to help monitor performance, benefit/value realization and dependencies across initiatives.
  • Assists the SVP & COO and AVP of Equity & Executive Office Operations with governance-related needs as well as the SVP & Chief Financial Officer (CFO) with audit, finance, and investment-related needs including but not limited to meetings, minutes, schedules, rosters, and follow up/action items arising from Board, Executive Committee, Governance Committee, Audit & Finance Committee, Investment Committee, and other volunteer meetings.

25% - Initiative Development and Project Management: 

  • Provides oversight and/or support for special projects and initiatives across the organization.
  • Assists the SVP & CFO and VP & Chief Technology Officer with ensuring adoption of formal project management function across the enterprise.
  • Supports strategic business initiatives from ideation to implementation and facilitates process with EMT in making go/no-go decisions on various business opportunities.   

25% - Business Operations and Risk Mitigation: 

  • Assists the President & CEO, EMT, and other senior leaders by packaging insight and analysis on the organization’s operations in a manner that makes it easy to use for decision-making.
  • Identifies and assists in developing recommendations for improvements across the organization.
  • Assists the SVP & CFO and SVP & COO in identifying and helping to address core problems or opportunities within the organization’s business processes.
  • Assists the EMT, as requested, in assessing risk when business decisions are made and works with EMT members to mitigate those risks.
  • Provides OMT members with consultation to help improve operations and teamwork.

 

QUALIFICATIONS AND REQUIREMENTS: 

  • Education and/or Experience: Bachelor’s degree in business administration, human resources, organizational development or related field, master’s degree preferred, with at least 7 years demonstrated managerial experience. Knowledge of all aspects of nonprofit organizations a plus.
  • Language and Communications: Ability to read, analyze, and interpret business periodicals, professional journals, financial reports, and governmental regulations. Ability to write reports and correspondence, present information and respond to inquiries/complaints from management, staff, customers, regulatory agencies, business community and the public effectively.  Strong verbal & written communications skills.  Must communicate effectively 1:1 and in groups. Has excellent listening skills and the ability to be persuasive as a coach and mentor to influence behaviors.
  • Mathematical and Analytical Skills: Ability to calculate figures (e.g., interest, commissions, proportions, and percentages) and conduct analyses.
  • Reasoning and Self-Management: Can define problems, collect data, establish facts, and draw valid conclusions.  Can analyze complex situations to identify critical components and dynamics to design creative and appropriate responses with options and solutions. Must be able to plan, organize and prioritize one's workload to maximize use of time and meet varied, multiple needs.
  • Leadership: Acts as a leader, planning meetings and assisting in determining the needs of the business and acting in an effective and trustworthy way.
  • Time Management: Responsible not only for improving the efficiency of the business but managing the time of the executive leaders. Use skills in organization and planning to prioritize tasks, set meetings and diffuse work conflict without bringing it to the attention of the executive leaders.
  • Problem-Solving: Takes the necessary steps to overcome problems the organization faces. Is adaptable and open to alternative solutions & flexible in interacting with others.

PHYSICAL DEMANDS:

Employee is regularly required to talk or hear; sit; use hands to finger, handle, and feel; and reach with hands and arms. Must have the ability to handle stress. Specific vision abilities required by this job include appropriate vision needed to drive as required for a valid driver’s license.
